1.Reservations

Plane tickets: Full payment is required at the time of reservation.
Cruises: Deposit according to the conditions of the cruise company.
Packages or land portions: Deposit according to the conditions of the suppliers.
Group trips: A deposit of $1,000 CAD per person (or more depending on the destination) is required at the time of reservation. (Depositi is non-refundable in case of cancellation or change made by the traveler). The final payment must be received in our offices 60 days before the departure at the latest.
In some cases, a higher deposit or the full amount may be required at the time of reservation; your Groupe Voyages VP agent will advise you in such an instance.
For the reservation of packages or cruises, the name of the airline carrier is indicated only if it is known at the time of publication and can be modified at any time.

 

2.Cancellation

The cancellation must be provided in writing.
Plane tickets: Fees according to the conditions of the airline company.
Cruises: Fees according to the conditions of the cruise company.
Packages or land portions: Fees according to the conditions of the suppliers.

 

3.Group trips

More than 61 days before the departure: non-refundable deposit due.
Between 60 days and the day of departure: non-refundable deposit and final payment due.
After the departure: no refund.

In the instance where we would be compelled to cancel a group trip because of a lack of reservations or if the group is already full, all the amounts paid by the travellers will be refunded, without any other compensation.
If the cancellation changes the occupancy base of the room of the passenger that still travels, the latter will have to pay the additional costs incurred by such changes.
File fees, ticket issuances and insurances are never refundable.
In case of cancellation, Groupe Voyages VP reserves the right to apply administrative fees amounting to 10% of the value of the service.

No refund for the non-used days caused by a late arrival or an early departure.

 

4.Modifications and changes

The passenger is responsible for providing the name it is indicated in the passport at the time of reservation. Name changes (for plane tickets) are considered as a cancellation and cancellation fees will therefore be applicable (see above).
In case of changes (dates, destination, hotel, cabin occupancy, etc), fees may be applied for each change requested by the client and are cumulative. The client will have to pay any price difference between the date of reservation and the date of change, in addition to the change fees. Some changes are not allowed by suppliers and will be considered a cancellation. Applicable cancellation fees will be charged.

 

5.Insurance

Groupe Voyages VP strongly recommends you purchase all available insurance for travellers, and more specifically insurance for medical and hospital fees, luggage loss and trip cancellation. Consult your travel agent.

 

6.Prices

All prices displayed on the website indicate the fee per person.
File fees will be applied per person and not per file.
All the indicated prices are in Canadian dollars (unless stated otherwise) and are based on the exchange rate, prices of air and land suppliers, and the taxes in effect at the time of reservation. The client acknowledges that the cost of the contract may be modified in the event of a fuel surcharge or an increase in the exchange rate. Please note that the cost of taxes and/or fuel surcharges are only guaranteed at the time of the ticket issuance.
If the change incurs a price increase of less than 7%, excluding TPS and TVQ, the client commits to paying the difference and, if the change entails a price increase equal or superior to 7% of the price, excluding TPS and TVQ, the client will be able to choose between: (1) the cancellation of the present contract and the full refund of the cost, or (2) the acceptance of replacement services offered by the travel agent.
However, no change of price can occur less than 30 days before the departure.

 

7.Required documents

It is your responsibility to possess the required documents for admission to the countries visited. Some visas may be required. For Canadian travellers, a passport is required for the country or countries visited. These details are provided for information purposes only. Groupe Voyages VP cannot be held accountable of any passenger that would be denied the admission for lack of required documents, and the trip would therefore be subject to applicable cancellation fees.

 

8.Health

It is your responsibility to be in sufficiently good health to take the selected trip; it is also your responsibility to consult your doctor before taking such a trip.

 

9.Responsibilities

Groupe Voyages VP is a travel agent, in the “retailer” category, and holds a Quebec license delivered to that purpose.

Groupe Voyages VP is not a travel organizer, nor a service supplier, but acts only as an intermediary for travel wholesalers and other service suppliers, such as transportation and hotel suppliers, in order to complete reservations in accordance with your instructions. Groupe Voyages VP does not have any control over these companies and the representations they make. Therefore, Groupe Voyages VP does not take any responsibility in case of non-fulfillment, fault, negligence, mistake or omission by the wholesalers and service suppliers offering the services expected under the current contract. All complaints and pleas must be addressed to and filed against the wholesaler(s) and/or service supplier(s) involved in the provision of the contracted travel services.

It is your responsibility to share with us all your special requirements related to the contracted services before your reservations are made. Additionally, upon receiving your plane tickets and other travel documents, you are responsible for verifying all details and making sure that they comply with your special requirements.

10.It is your responsibility to possess and bring with you the following documents: plane tickets and transit fares, vouchers, a valid passport and the original visas, where required.

Some countries require a visa and/or a vaccination certificate.

Despite our efforts to provide you with up-to-date information in this regard, you are responsible for making sure that you comply with all the conditions and formalities of admission to exit from the countries visited. In case of non-compliance, the transporter, service supplier or customs authorities may deny you access and Groupe Voyages VP does not take any responsibility in this regard.

Without limiting the generality of the present general conditions:

11.Groupe Voyages VP does not take any responsibility for the cancellation, delay, damage, disease, injury, inconvenience and loss of enjoyment resulting from:
a) Fault of the client to comply with the present general conditions of wholesalers and service suppliers involved in the provision of contracted services.
b) Disease, death, robbery, strike, shortage and/or mechanical damage, governmental constraints, meteorological conditions or other causes beyond our control.
c) Moral, physical and material damages resulting from the comings and goings of any other person than Groupe Voyages VP staff.

Groupe Voyages VP does not take any responsibility for the material, physical or moral damages in the event of a force majeure (strike, war, meteorological conditions, mechanical damage, terrorism, demonstration, etc).

No employee, agent, representative or advisor from Groupe Voyages VP is authorized to modify the full application of the present general conditions.

Groupe Voyages VP reserves the right to cancel or modify partially or entirely the trip in case of a force majeure.

It is your responsibility to advise us or our service suppliers as soon as a problem arises, so that we can solve it immediately or as soon as possible. Our responsibility is therefore limited to the cost of the paid trip.
In the case that the traveller behaves in a prejudicial way with other travellers or service suppliers, the traveller may be expelled.

12.Waiver of Rights

Agency has advised customer that because of the effects of COVID 19 in all parts of the world it cannot provide any assurance about conditions in any location, the methods used in any location to manage COVID-19, the services or amenities available in any location, or the effects of COVID-19 on any of the travel services that travel arrangements. Knowing of the conditions and having been given this warning by Agency, customer, on his/her own behalf and on behalf of anyone for whom customer requests Agency make travel arrangements, acknowledges that use of the travel arrangements has significant inherent risks and customer and anyone for whom customer requests Agency make travel arrangements agrees to waive any and all rights s/he/they may now have or may have in the future against Agency, its directors, subsidiaries, affiliates, its parent company and the parent company’s subsidiaries and affiliates for any damages, actions, causes of action, proceedings, suits, debts, dues, covenants, contracts, claims and demands as a result of any adverse circumstances caused by or arising from the use of the travel services, including those related to delay, interruption or cancellation of some or all of the travel services, causing customer and/or anyone for whom customer requests Agency make travel arrangements, to have to remain in transit or stay at a location for longer than anticipated, all at customer or anyone for whom customer requests Agency make travel arrangements, cost.

13.Application of wholesalers and service suppliers’ general conditions

Brochures, transit fares and other travel documents originated from wholesalers and service suppliers contain general and specific provisions that are applicable to you, especially in terms of service changes, cancellation, etc.
These documents also contain provisions exonerating or limiting the responsibility of organizers and service suppliers.
You have the obligation to carefully read the general conditions of wholesalers and service suppliers involved in the provision of the contracted services, since they are applicable to you and constitute your contract with these companies.

Groupe Voyages VP does not participate in the making of wholesalers and service suppliers’ brochures and therefore does not take any responsibility for the quality of the services represented.
Groupe Voyages VP does not have any control over the overbooking of seats and rooms made available by transporters, hotels, or other service suppliers, and therefore, Groupe Voyages VP does not take any responsibility for any damage that results from such an overbooking.

 

Application

The reception of a deposit, the issuance of transit fares or travel documents, or the purchase of a traveller to any trip proposed by Groupe Voyages VP automatically implies your full acceptance of the general conditions mentioned above, as well as your full and satisfied acknowledgment and acceptance of the general conditions of the wholesalers and service suppliers involved in the provision of the contracted services.
